Part time role

The Role: P&C/Finance Assistant

Location: Cardiff (Workshop / Office based)

Salary: £27,500 per annum pro rata (£18,333 actual)
Working hours: 25 hours per week 9am to 2:30pm, Monday to Friday
Contract: Part-time, Permanent

Position Overview: We’re looking for a friendly, organised and reliable P&C / Finance Assistant to provide administrative support across our People & Culture and Finance functions, as well as being the main point of contact for visitors and incoming calls to Wild Creations.

This is a varied role that will suit someone who enjoys being organised, helping people and keeping things running smoothly behind the scenes. You’ll work closely with the People & Culture Manager and Finance Manager, supporting the day-to-day administration of both areas and helping to keep information, records and processes organised and up to date.

You’ll also be an important part of the first impression people have of Wild Creations. As our main receptionist, you’ll welcome visitors, answer incoming calls and help make sure people get to the right place or person. A friendly, confident telephone manner and an approachable personality are therefore really important.

There will be a mixture of regular tasks and things that come up as part of working in a busy, growing business. We’re looking for someone who is happy to get stuck in, use their initiative and support the team where needed.

About Us: Wild Creations is a leading provider of innovative design, manufacturing and installation solutions for props and scenery within the theme park, entertainment and marketing industries. With a passion for creativity and craftsmanship, we specialise in bringing our clients’ visions to life through our exceptional workmanship and attention to detail.  We foster a culture of innovation, collaboration, and excellence. We value diversity, creativity and continuous learning and we strive to create a workplace where every team member can thrive and contribute to our collective success.

What You’ll Be Doing

  • Providing proactive, confidential and dependable administrative support to the People & Culture Manager and Finance Manager.
  • Helping to keep employee, finance and other business records accurate, organised and up to date.
  • Supporting recruitment, onboarding, training, employee administration and other P&C activities.
  • Assisting with routine finance administration, including invoices, expenses, purchase orders and financial records.
  • Answering incoming calls and dealing with enquiries in a friendly and professional way.
  • Welcoming visitors, clients, suppliers and contractors to Wild Creations.
  • Preparing documents, maintaining filing systems and helping with general office administration.
  • Supporting meetings, training, events and other activities when needed.
  • Handling confidential and sensitive information appropriately.
  • Helping to keep the office environment organised and welcoming.
  • Picking up tasks, spotting what needs doing and supporting colleagues as priorities change.

The role will naturally evolve as the business and our ways of working together develop, so being adaptable and willing to learn will be important.

About You

You’ll be someone who is organised, approachable and dependable, with a genuine willingness to help.  You’ll be comfortable working with different people and different types of information and able to switch between tasks without losing sight of the detail. You’ll know when to get on with something yourself and when to ask a question.

You’ll ideally have:

  • Previous experience in an administrative, office, P&C/HR, finance or reception role.
  • Excellent organisational skills and attention to detail.
  • A friendly and confident telephone manner.
  • Great written and verbal communication skills.
  • Great IT skills and confidence using everyday business systems. We work on Google predominantly.
  • The ability to manage your time and prioritise your workload.
  • A high level of discretion when dealing with confidential information.
  • A practical, flexible approach and a willingness to get stuck in.
  • A friendly and approachable manner.

Experience of working with HR or finance systems would be useful, but isn’t essential. We’re more interested in finding someone who is organised, willing to learn and takes pride in doing a good job.  You’ll be someone people feel comfortable approaching, whether they’re calling the business, visiting the office or working alongside you. You’ll be trusted with important information and will play a part in keeping some of the less visible but essential elements of the business running smoothly.

We value people who take responsibility, communicate well, use their initiative and are happy to help each other out.

We offer the following benefits:

  • A day off on your Birthday in addition to the usual 28 days holiday (including BH).
  • Extra holiday after 2 years’ service (up to 5 extra days).
  • Enhanced company pension contributions.
  • Private medical insurance (after probation).
  • Cycle to Work scheme (after probation).
  • Free on-site parking.
  • A creative, inclusive and forward-thinking workplace.
  • Opportunities for professional growth and development.
  • The chance to work on high-profile, one-of-a-kind projects.
